Accounts, or Vixen Financials is a modular financial accounting solution. The modules include: Sales Ledger, Purchase Ledger, Nominal Ledger, Job Costing, Sub-Contractor, Cash Book, and Payroll. Furthermore, the Client module manages recording, reconciling and accounting for interim applications, client certificates, deferred VAT, discounts and retentions on contracts.
Payroll manages hourly/salary payroll for all staff and includes multiple pay codes, additions, deductions and latest pension options. This function integrates with RTI and BACS.
Job costing provides continuously updated job costs on every job - reactive or routine, emergency or pre-planned - managing committed costs/outstanding orders, labour, parts and subcontract costs. This function provides a range of invoicing options including time & materials/Cost-Plus, Schedule-of-Rates, quoted work, routine/periodic, and fully comprehensive or summary application.
Stock provides multi-depot stock control with MEP industry-standard pricing service, auto-replenishment, valuation and identification of slow-moving items.
Timesheets collates timesheet information for automatic submission and operations approval with full integration to payroll, job costing and invoicing.
Purchase Orders raises and progresses hire, connects sub-contract and materials orders with MEP industry pricing and manages committed costs. This function integrates with stock control, purchase/nominal ledgers and Causeway Tradex.
Estimating provides MEP estimating from enquiry through take-off to what-if modelling, tender documents and 'success' analysis with industry standard pricing service.
Plant & Asset
Plant & Asset records equipment/vehicles etc. with additions, disposals and depreciation formulae. This function integrates with Sales, Purchase and Nominal Ledgers and Job Costing.
Data Replication is a powerful report designer in Vision XL that provides flexible reporting formats, including the use of headers, details, subtotals, and footer sections to provide professional looking reports. Vision XL also enables the diverse range of report styles, formats, and printing options available in Excel to be applied to business data.
Analytics displays business critical KPIs in both financial and operational real time. Each team or staff member is able to report on KPIs that related to their specific role and share data via client dashboards. Configurable, one-touch reporting reduces the need for data mining reports and spreadsheets, is more time-effective in producing monthly management reports, and provides easier cost monitoring and analysis against estimated values.

Livestax - Organisation Zone
Livestax - Organizational Zone is a secure web interface that joins up data across all systems, allowing for seamless creation of web services for staff, customers and supply chain without having to change underlying systems.
Project Portfolio Management (PPM) generates reports for clients, sends reports to the estimating system and automates generates letter templates.
Service and Maintenance
Service and Maintenance provides planned & reactive maintenance management for all companies engaged in service & maintenance work, encompassing general maintenance, electrical & mechanical repairs, and servicing and safety certification in the domestic (owner-occupied & tenanted) sectors.
Letter Production (Rules Based)

Vixen System Integration includes starter packs for integration with some 3rd-party housing management systems such as Orchard, Academy and Northgate.
Job Management manages details of all properties maintained, contracts and agreements, service history, planned visits and managed assets. This function handles reactive calls with access to property/asset details, alerts, history, current jobs, SLAs; allocates reactive/PPM tasks to operatives with skill, location and availability validation; delivers against contracted SLAs with real-time interaction from mobile workforce; and monitors jobs through critical stages and follow-on workflow.
Site Warnings & Alerts
Site Warnings & Alerts provides pre-warning to job schedulers and engineers of issues they need to be aware of, along with access information and tenant information.
Electronic Timesheets are designed to modernise traditional timesheet recording and minimise delayed invoicing and lost paperwork.
Van Stock maintains van stocks of frequently-used parts with automatic replenishment from preferred suppliers. This function manages requisitions direct to supplier or via operations approval.
Requisitions provide on-site engineers access to a customised database of materials via a handheld PDA, tablet or other mobile device. The engineer can submit a purchase order requisition electronically to the back office system by selecting required materials on the screen. Once approved, and the purchase order sent to the preferred supplier and the engineer receives an automatic notification. The engineer can complete an electronic ‘delivery note’ on screen once materials are received, notifying the office system.
Lone Worker allows for the monitoring lone workers out in the field and provides a notification if no communication has been received in a pre-defined period of time.
Forms gives engineers the ability to complete digital forms with signatures, photos and job notes. Some industry standard forms are available as templates.
